Booking & Payment Policy:
Thank you for choosing RJ Visuals. By booking a photography session with RJ Visuals, you agree to the following terms and conditions.
Booking Confirmation:
Clients may submit an inquiry through the “Book Now” feature on the RJ Visuals website. Once your inquiry is received, RJ Visuals will contact you by email or phone to discuss the details of your requested photography session.
A booking is not confirmed until:
- The session details have been agreed upon by both parties.
- An invoice has been issued by RJ Visuals.
- The initial deposit has been received which includes the $150 non-refundable deposit.
RJ Visuals reserves the right to decline or cancel a booking request prior to receipt of the deposit.
RJ Visuals also reserve the right to decline or cancel a photography session.
Deposit Requirement:
A deposit is required to confirm your photography session. The deposit amount may exceed $150 CAD depending on the session or package selected; however, $150 CAD of the deposit is non-refundable.
The deposit covers administrative work, scheduling, consultation time, pre-production planning, and preparation associated with your session.
No date or time slot will be reserved until the deposit has been received.
Final Payment:
The remaining balance must be paid in full no later than 48 hours before the scheduled session date.
Failure to pay the outstanding balance by the required deadline may result in cancellation of the booking and forfeiture of 50% of the initial deposit (which does not include the non-refundable portion of the deposit).
Accepted payment methods will be outlined on your invoice.
Rescheduling Policy:
RJ Visuals understands that unexpected circumstances may arise.
Client-Initiated Rescheduling:
Clients may request to reschedule their session by providing written notice via email at least 48 hours prior to the scheduled session.
Provided 48 hours written notice is given, the paid deposit may be transferred to a new session date, subject to both parties’ availability.
Illness, Emergencies & Unforeseen Circumstances:
If a client experiences illness, COVID-like symptoms, family emergencies, work-related obligations, or other unforeseen circumstances, RJ Visuals will make reasonable efforts to accommodate a new date without additional rescheduling fees when 48 hours written notice is provided.
Weather Policy:
RJ Visuals prioritizes the safety and comfort of all clients. Outdoor sessions may be rescheduled due to severe weather conditions, including but not limited to:
- Heavy rain
- Thunderstorms
- High winds
- Extreme heat or cold
- Poor visibility conditions
- Any weather conditions deemed unsafe by RJ Visuals
Late Rescheduling Requests:
Rescheduling requests made less than 48 hours before the scheduled session may result in the loss of the deposit and may require a new deposit to secure another date.
Photographer Rescheduling:
In the rare event that RJ Visuals must reschedule due to illness, emergency, severe weather, equipment failure, or other circumstances beyond our control, clients will be offered the option to:
- Reschedule the session at no additional charge; or
- Receive a full refund of any payments made beyond the non-refundable $150 portion of the deposit if a mutually acceptable date cannot be arranged.
Cancellation & Refund Policy:
Client Cancellations:
All deposits include a non-refundable fee of $150 CAD.
If a client chooses to cancel their session for any reason, $150 of the deposit will be retained by RJ Visuals. Any amount paid above the non-refundable $150 may be refunded at RJ Visuals’ discretion unless otherwise stated in the invoice or package terms.
No-Show Policy:
Clients who fail to attend their scheduled session without prior written notice will be considered a “no-show.”
In such cases:
- The non-refundable $150 portion of the deposit will be forfeited.
- An additional 60% of the total session fee may be retained to cover reserved time and business losses.
Completed Services:
Once a photography session has been completed, all payments become non-refundable.
Due to the nature of creative services, refunds will not be issued based on personal preferences, pose selections, artistic style, editing choices, weather conditions, or subjective opinions.
Digital Products:
All digital photographs, edited images, graphic designs, and downloadable products are non-refundable once delivered.
Image Delivery:
Estimated turnaround times will be communicated during booking. Delivery timelines may vary depending on workload, season, project scope, and unforeseen circumstances.
RJ Visuals will make every effort to deliver final images within the communicated timeframe.
Copyright & Usage:
All photographs remain the intellectual property and copyright of RJ Visuals unless otherwise agreed in writing.
Clients receive personal-use rights to their delivered images. Images may not be altered, sold, edited, filtered, or used for commercial purposes without written permission from RJ Visuals.
RJ Visuals reserves the right to use photographs for portfolio, website, social media, marketing, promotional materials, competitions, and publications unless otherwise agreed in writing before the session.
Acceptance of Terms:
By confirming the booking, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.
